Describe the project in one paragraph
Include the jobsite address, your company, the person responsible for the order and the expected use. Explain whether you are budgeting, bidding or ready to place an order. State the requested delivery date and the date the product must actually be usable, especially if installation or coordination is involved.
Provide an estimated duration and note likely extensions. If several trades need separate orders or purchase orders, say so early. A supplier needs to understand the commercial customer as well as the delivery location; the general contractor, building provider and end user may be different organizations.
Add the details for each product
Use quantities and dimensions where known, and label allowances honestly. A fence estimate based on a sketch can be useful if everyone understands that the final length needs confirmation. The same principle applies to a preliminary ramp layout or a furniture list before the building plan is final.

Show the route as well as the destination
Attach a marked plan and photographs of the entrance, turns and proposed placement or unloading area. Describe gate restrictions, overhead obstructions, soft ground and work taking place along the route. The selected delivery provider must review its own vehicle and placement requirements.
Identify the site contact who can confirm readiness and receive the delivery. Include check-in instructions and any project-specific access requirements. Notify the provider if conditions change between quotation and dispatch; photos from a dry site may no longer describe the route after heavy rain.
Compare the total scope
Ask suppliers to separate rental, delivery, installation, accessories, relocation and recovery where applicable. Review the billing period, minimum term, taxes, damage or loss provisions, cancellation terms and pickup notice in the agreement. This is a comparison checklist, not a claim that every supplier uses every fee.
If a quote excludes an uncertain item, record how it will be resolved. A firm price for an incomplete scope can create more uncertainty than a clearly identified allowance. For phased projects, ask how additions, moves and extensions will be authorized and documented.
Keep revisions traceable
Use a project name and revision date on each plan. Summarize what changed when you send an update. Confirm the final quantities, location and dates in the order instead of relying on several separate messages with conflicting information.
